GENERAL TERMS & CONDITIONS

Activity Iceland is a travel agency and tour operator, offering a wide range of adventure tours in Iceland that are operated directly by Activity Iceland or through third-party suppliers.

The following booking conditions cover all bookings with Activity Iceland, whether you book through the company’s website, phone, or through our website unless otherwise stated. The contract between Activity Iceland and all traveling members will only be valid after the buyer has accepted our Terms & Conditions and Activity Iceland has received the confirmation fee. By completing a reservation through our website, you acknowledge and agree to have read, understood, and have agreed to the terms and conditions set out here below.

These terms & conditions may be amended from time to time, and apply to all our services.

Booking process & third-party bookings

We reserve the right to ask for at some point, commitment fee of ISK 50.000.- in the early stages of planning a multi day package. The fee is non-refundable but is valid as credit towards the total amount of the package.

Bookings can be made through the Activity Iceland website, or by sending us an e-mail to [email protected]. We aim to reply to you within 24 hours!

Please make sure to fill in and/or provide all the necessary details upon booking your tours. Once you have completed the booking process, you will receive an email with your booking number and/or the voucher/s for the services booked. The voucher/s will be your proof of payment, so please bring it/them with you on the day of your tour.

Please note that you are responsible for carefully checking all details on your confirmation and related travel documents, to ensure that they are correct. In the event of a discrepancy, such as booking mistakes where the wrong date and/or an incorrect number of participants were booked, please contact Activity Iceland immediately, as it may not be possible to make amendments to your reservation when it gets closer to your departure date.

Activity Iceland cannot be held responsible for mistakes made in the online booking process, or incorrect information provided by e-mail.

Activity Iceland, and all third-party suppliers, reserve the right to alter itineraries and/or timetables if needed, due to unfavorable weather and/or other affecting conditions. Activity Iceland, and any third-party suppliers, are not responsible for expenses and/or other related costs due to factors outside of their control. These could be factors such as, but not limited to, flight delays, sudden changes and/or cancellations, injuries, weather, war, natural disasters, etc. and/or other unforeseeable matters.

You are responsible for providing Activity Iceland with the correct contact information and related details so that you can be kept informed in the event of changes made to the services booked.

Right to cancel a tour or move to a partner operator

Activity Iceland reserves the right to move your booking to a partner operator if the minimum number of travelers has not been met 24 hours prior to the tour departure. If your booking is moved to a third-party operator, it will be for a tour that is similar in duration, vehicle type and visits most of the same sights.

Terms of Payment

We accept Visa, MasterCard, and electronic bank transfers.

Terms of payment for day tours and excursions

Full payment is required by Activity Iceland at the time of booking to confirm your booking. Activity Iceland reserves the right to treat non-payment as a cancellation and withdraw the confirmation of the services.

Terms of payment for multi-day tours and custom tour packages

A non-refundable deposit of 20% of the total price is required by Activity Iceland at the time of booking to confirm your booking.

The remaining balance should be received by Activity Iceland at least 4 weeks before arrival day. In case of delayed payment, Activity Iceland reserves the right to treat non-payment as a cancellation and withdraw the confirmation of the services.

Special terms of payment for tours and packages that include flights

For tours and packages that include domestic or international flights, a non-refundable deposit of 30% of the total price is required by Activity Iceland at the time of booking to confirm your booking.

The remaining balance should be received by Activity Iceland 8 weeks before arrival day. In case of delayed payment, Activity Iceland reserves the right to treat non-payment as a cancellation and withdraw the confirmation of the services.

Cancellations

As we start to incur costs from the time a service is confirmed, we will apply cancellation charges, as shown below, from the time when written notification of the cancellation is received. These cancellation terms do not apply to cancellations made on behalf of Activity Iceland or any third-party supplier unless the customer makes the cancellation.

Daytours, Activities & Excursions – Individuals

  • Less than 24 hours – No refund
  • More than 24 hours – 100% refund

Day tours, Activities & Excursions – Groups (10+)

  • Less than 48 hrs – No refund
  • More than 48 hrs – 90% refund

Private Day Tours, Activities & Excursions*

  • Less than 72 hours – No refund
  • More than 72 hours – 90% refund

Multi-day Tours & Packages – Private and non-private individual*

Please keep in mind that these terms apply to the whole package. Cancellation of activities or individual elements of the package may not be subject to refund, after the package has been booked.

  • Less than 4 days – No refund
  • Less than 14 days – 50% refund
  • More than 14 days – 80% refund

Multi-day Tours & Packages – Group tours (10+)*

  • Less than 12 weeks – No refund
  • More than 12 weeks – 80% refund

If a tour is booked with less than 12 weeks’ notice, please ask for a customized cancellation policy.

*Unless stated otherwise on the tour voucher or travel itinerary

Please note that tours operated by third-party operators may have stricter cancellation policies. Please check your voucher carefully for specific cancellation terms, or email us at [email protected] if you are unsure about your tour’s cancellation policy.

10 – 20% of your trip is non-refundable; this percentage reflects our cost of booking and preparing your trip.

Cancellation requests after the fact

Should you, or any member of your group, for any reason whatsoever, request a refund, partial or in full, for all or part of your tour and/or activity, such refund requests must reach Activity Iceland in writing no later than two weeks after the end of the tour. Activity Iceland reserves the right to review each refund request individually and gives itself 7 days to deliberate. A refund, partial or in full, is not guaranteed.

Currency & VAT

Please note that all prices for the services provided by Activity Iceland or any third-party supplier are in the company’s local currency, Icelandic Krona (ISK). Activity Iceland cannot be held responsible for currency fluctuations and/or additional fees outside of their control that may be applied, such as bank transfer fees, credit card fees, etc. VAT is included in all the prices quoted.

The final price of your local currency will depend on the currency conversion offered by your credit card provider or bank at the date of the transaction.

Promotional Codes & Special Offers

Please note that special offers and promotional codes cannot be applied after-the-fact, in the form of a refund or credit. When offered, promotional codes, and other special offers, must be entered into the relevant field located on the payment page, upon checkout, at the time of booking to be valid and applied, or otherwise be agreed upon in writing via e-mail.

Pick-up & Drop-off Services

Activity Iceland and its third-party suppliers offer pick-up and drop-off services for most of their tours. Please read the tour description very carefully to see if pick-up and drop-off services are included in the price, can be added as an extra, or if the activity in question only offers the option of meeting on location.

You, as the traveler, are responsible for your pick-up. This includes providing Activity Iceland with your correct pick-up location with good notice, as well as being ready at the correct time for the pick-up for your tour. Please keep in mind that the pick-up time and departure time can be different. Activity Iceland, or any of its third-party suppliers, will provide you with information about your pick-up time on your voucher, which is provided upon booking. If you are unsure when to be ready for your scheduled tour, please contact us at [email protected].

Please note that missing the pick-up does not entitle you to a refund or credit for the price paid for the services. You are responsible to be ready for pick-up at the assigned pick-up point, from the start of pick-up time, in order not to miss the tour.

Meet on Location

If you are planning to meet suppliers on location for your tour, please be sure that this can be arranged. Please read the tour description of your tour very carefully to see if meeting on location is possible for the activity in question. Please note that there are some tours where this cannot be offered. If you are unsure if this service is available, please contact us at [email protected].

You, as the traveler, are responsible for arriving at the meeting point in time for your tour. This includes being ready at the correct time, at the correct location, in time for your tour. Activity Iceland, or any third-party supplier, will provide you with information about the meeting point for your tour on your voucher, which is provided upon booking or by email. If you are unsure when/where to arrive for your scheduled tour, please contact us at [email protected].

Please note that if you do not arrive in time for your tour, and/or are late to the meeting location of the tour, in other words, you do not arrive at the correct meeting point, at the correct time for your tour, you are not entitled to a refund or credit of the price paid for the services.

Extras & Rental Gear

Some tour options offer bookable extras and rental gear. This can be booked in the booking engine, or by email, upon the initial time of booking, or by sending an e-mail to [email protected] after-the-fact.

Please do this sooner rather than later, because we cannot guarantee the availability of such extras if they are not booked with good notice. Please note that all extras and rental gear reservations are final. No refund is given for extras & rental gear. This includes single supplements, hiking shoes, waterproof jackets & pants, etc.

Safety equipment needed for each tour is provided by the tour operator unless otherwise stated in the tour description. This is not classified as extras or rental gear.

Travel Insurance

As with all world travel, we strongly recommend that you purchase a travel insurance policy in your home country that covers your costs should you have to cancel your travel reservation with short notice. These kinds of travel insurance are not expensive and frequently cover other risks. Having travel insurance is always a clever idea when traveling around the world.

Activity Iceland does not arrange travel insurance.

Clothing

Appropriate footwear and suitable outdoor clothing must be worn on your adventure tour. Activity Iceland and any third-party supplier reserve the right to refuse participation to customers dressed inappropriately or with inappropriate footwear since this will put the client’s well-being and safety at risk, as well as the safety of others on the tour.

A good rule of thumb in Iceland is always to wear, or at least bring, hiking boots and waterproof clothing. Layers are the key to comfortable Iceland travel!

Assumed Risk & Outdoor Activities

Customers are advised that all activities are undertaken entirely at their own risk, and they must behave in a fit and proper manner at all times, following Activity Iceland, or any other third-party suppliers’ guidelines. Customers must take proper responsibility for their safety. All adventure tours and outdoor activities carry inherent risks, and Activity Iceland, or any third-party suppliers, do not assume responsibility for accidents caused by customers, can be traced to their actions, or are caused by factors outside of human control (Force Majeure).

With the purchase of your trip, you agree to these conditions, understand its implications, and accept responsibility for participating in your trip. Depending on the excursion, you may be requested to sign an additional liability release. If you refuse to do so, you may be forbidden to participate in the activity or tour.

Alcohol & Drugs

Activity Iceland and all its third-party suppliers reserve the right to refuse participation to any customer if they are believed to be under the influence of alcohol or other intoxicants. In such circumstances, no refund will be given.

The tour guides are well within their right, provided by their employer, to refuse participation to any customer whose conduct, manner or behaviour is likely to offend, upset, or put other passengers in danger. In such cases, no refund will be given.

Reviews & Feedback

Activity Iceland welcomes all feedback, both positive and negative, as it helps us improve our overall services, communication with third-party suppliers, and our/their performance.

Liability and Force Majeure

Activity Iceland shall not be liable or responsible for any loss, interruption, delay or error including any loss, or interruption, delay or error because of circumstances beyond its control (which includes but is not limited to, acts of civil or military authority, national emergencies, pandemic, labour difficulties, fire, equipment failure, mechanical breakdown, flood or catastrophe, acts of God, insurrection, war, terrorism, riots or failure of communication or power supply), or any other cause beyond Activity Iceland’s control.

Provided that any loss, interruption, delay, or error is not caused by the willful misfeasance, bad faith, gross negligence, or reckless disregard of Activity Iceland, its owners, employees, or agents in performing Activity Iceland’s duties and obligations under this Agreement. Activity Iceland acts in good faith and cannot be held responsible for any agent, hotel, coach operator, airline, guide, restaurant, or any other person’s or company’s acts, defaults or delays.

Activity Iceland reserves the right to change routes, itineraries, or departure times without prior notice, should the necessity arise, as your safety is our utmost priority.

In the case of any changes to flights (domestic and international), the passenger is responsible for any additional costs incurred as a result of such changes (i.e. additional hotel nights, meals, transfers, etc.), at the time provided. For any other circumstances, and to cover any unforeseen delay, loss, or other mishaps, we advise all traveler(s) to have comprehensive travel insurance to meet all contingencies and in case of any loss, damage, accident, injury, sickness or schedule change beyond our responsibility.

Lost Luggage

Activity Iceland takes no responsibility for lost items or luggage. Activity Iceland is unable to assist during the process of tracking and retrieving lost luggage. All information regarding Lost & Found at Keflavik International Airport can be found here.

Rented vehicles

Age Restrictions apply to the rental of smaller vehicles,

  • Mini to Full-Size category vehicles: Minimum 20 years of age and 1 year with a valid driving license.
  • SUV Economy to SUV Intermediate category vehicle: Minimum 25 years of age and 2 years with a valid driving license.
  • SUV Full-size to SUV Luxury category vehicles: a minimum of 25 years of age and 3 years with a valid driving license.

The renter and all additional drivers must present a valid driving license. If the renter’s national driving license is not printed in Roman script (i.e. Arabic, Greek, Cyrillic, Chinese, Japanese, etc.) an International Driving Permit (IDP) or International Driving License (IDL) is required. A valid passport is requested at the time of the pickup. A credit card as a guarantee is required by the rental company at the time of the pick-up of the rental vehicle.

When retrieving the rental vehicle, the traveler will sign a direct contract with our rental car partner. The contract stands as a legal agreement between the traveler and the rental car partner. We strongly advise that you read the document completely and thoroughly before signing it.

Applicable Law

By using Activity Iceland services, you accept that this agreement shall be governed, construed, and enforced in accordance with the laws of the Republic of Iceland. Activity Iceland’s legal venue is Reykjavík, Iceland.
